The workflow takes in the form data collected about the new user to be onboarded from the client. The form data includes the user details, departments, manager information, etc. Bumblebee reads the structured onboarding instructions you provide: names, license rules, organizational unit paths etc, and start the workflow.
Once triggered, the workflow:
Validates all required fields (first/last name, start date, department, manager, location, etc.).
Creates the Google Workspace user account with the correct primary email, OU placement, and enforced password reset.
Assigns licenses based on your rules — per-role, per-department, or per-client.
Procure new licenses when there are no more available.
Adds the user to groups and propagates permissions automatically.
Updates the ticket with timestamps and progress logs so technicians always know what happened, when, and why.
Everything runs exactly as you define it — no retraining and no surprises.
Handling Edge Cases
If a required Google Workspace SKU isn’t available, the workflow can call your Pax8 integration to purchase licenses automatically (or create a sub-task requesting approval). Once licenses are available, the workflow continues without technician intervention.
Some MSPs assign licenses through groups instead of direct seat assignment. Your workflow can follow whichever method you use: a) Add user → Assign group → License inherits automatically b) Or assign directly → Add to groups afterward. Both patterns are supported and fully customizable.
